Position Summary:
The Director of Events Management is responsible for the creation, production,
execution, and evaluation of strategic experiences that appropriately and consistently promote interaction, participation, and recognition of special guests, donors, alumni, and key stakeholders of the University.
This position has primary responsibility for ensuring events management functions on campus are planned effectively, and communicated to campus constituencies, and that all events management policies and procedures are followed.
This position plays a critical role in the overall image of the university and works closely with key administrative leaders.
Specific Job Duties (Essential Functions and Responsibilities) Plans, executes and evaluates all special and social events sponsored by the Office of the President and Vice Presidents as needed.
Serves as the main point of contact for all event reservations for both internal and external clients.
Actively utilizes campus technology systems (including Workday and SchoolDude) to coordinate logistics with the various supporting departments, and manage equipment needs, A/V requirements, and billing/invoicing.
Ensure all events are centrally invoiced accurately, and work with the Finance Department to ensure various revenue streams are deposited into the appropriate accounts of the supporting departments.
Ensures accurate advertising of standard room and equipment rates.
Collaborates with departments and divisions across campus to ensure events are successful and meet the needs of the client.
Ensures that guests and event participants have a positive impression of the University.
Provides welcoming and flexible customer service for all clients.
Works collaboratively with the Manager of Campus A/V to schedule technical needs for client events.
Provides oversight of event/program planning to include scheduling, design, setup, marketing, catering as needed, and staffing.
Completes post-event assessment.
Ensures events across campus are in compliance with university policies and procedures while maintaining a quality guest and client experience.
Participates in the Events Management Team - a collaborative group of events professionals including those working with Facilities, A/V, Camps/Conferences, the Police Department, and others as needed.
Manages and collaborates on other University-related events as assigned by the supervisor.
Qualifications: Bachelor's degree in Business Administration, Communications, Events management, or a similar field and three to five years of event planning and implementation experience in a complex setting like a university or corporation.
Proven track record of creating unique and memorable positive experiences for event guests Highly organized with the ability to create and execute detailed plans and projects simultaneously.
Strong communication skills and the ability to communicate in a variety of methods to ensure successful event planning and execution.
Knowledge and experience with events management, billing and invoicing, and calendaring/scheduling technology systems.
Ability to interact professionally with, and provide excellent customer service to, a wide variety of constituents, both internal and external to the university.
Some graphic design experience, creative skills, and an artful eye for drafting invitations, designing event programs, and event signage are a plus.
Preferred Qualifications: Bachelor’s degree and five years of experience with increasing responsibility in events management.
Bilingual, preferably in Spanish and English.
Experience directly supervising student employees.
