The Document Control & Records Management Specialist administers the Northern New Mexico Integrated Security (N2MIS) procedures, written documents, forms and records management processes.
The Specialist compiles and reviews changes to the Los Alamos National Laboratory (LANL) directives, federal, state and local laws and regulations to assist in the determination of applicability to company operations.
The Document Control & Records Management Specialist facilitates and assists in the maintenance of, and revision to, company policies, procedures, orders and forms.
The Specialist establishes the methods for identification and appraisal of Department of Energy (DOE) administrative and N2MIS programmatic records.
Additionally, the Document Control & Records Management Specialist records inventory, storage and disposition activities.
Work is executed in accordance with Integrated Safety Management (ISM) and Integrated Safeguards and Security Management (ISSM) functions and principles.
RESPONSIBILITIES
Record inventory, storage and disposition activities.
Maintain the controlled copy of each company document in its own folder with all forms and change documentation.
Ensure the quality and control of procedure documents and provide timely notification of revisions.
Maintain the Records Inventory Disposition Schedule (RIDS) database.
Create and distribute accurate, detailed periodic reports and worksheets as needed to demonstrate compliance with specific requirements.
QUALIFICATIONS
Required Education and Experience:
Work is performed onsite.
Position is not remote.
Associate degree in a Business Administration, Criminal Justice, Law Enforcement or related field of study; or an equivalent combination of education, training and experience.
Minimum of three (3) years developing and analyzing procedures/requirements or report writing.
Currently have, or be able to obtain and maintain, a Department of Energy Q level security clearance.
Obtaining this clearance requires US citizenship except in extremely rare circumstances.
Excellent written and oral communication skills and the ability to convey information professionally and tactfully.
Proficiency with Adobe Acrobat and the Microsoft Suite platform including word processing, spreadsheets, graphics, electronic mail and database software.
Must be able to maintain strict confidentiality and work independently with minimal supervision.
Ability to obtain and maintain a valid New Mexico driver’s license.
Desired Education and Experience (Considered a Plus):
Experience performing management, operational, or procedures analysis within the security industry; experience with Department of Energy or other government contracts.
Records management experience.
Knowledge of Code of Federal Regulations (CFR), DOE, National Archives and Record Administration (NARA) and LANL requirements.

Work is performed in an office setting.
PHYSICAL REQUIREMENTS
Sedentary work involving extended periods of sitting while engaged with a computer terminal or phone.
Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday.
Must have the visual ability to perform computer activities such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; determining the accuracy, neatness and thoroughness of work.
Light to moderate lifting up to twenty pounds may be required.
